Managing participants in enquiries lets you control who has access to each thread, keeping communication efficient and relevant.
When to add or remove participants
Add participants when:
A colleague needs to take over while you're on holiday
Technical expertise is needed (e.g., bringing in your site manager or QA lead)
Multiple team members need visibility on a particular opportunity
You're handing off a conversation to another department
Remove participants when:
Someone no longer needs to follow the conversation
A team member has left the project or company
You want to reduce notification noise for colleagues
How to manage participants
Open the enquiry thread you want to manage
On the right-hand side of the screen, you'll see a pane with participant information
Click the Add Colleague/Manage Participants button
A list of current members in the thread will appear
To add a participant:
Click Add Team Member (or similar button in the participant list)
Search for or select the colleague you want to add
They'll immediately gain access to the full enquiry thread and receive notifications
To remove a participant:
Find the person in the participant list
Click the Remove next to their name
They'll no longer receive notifications or have access to future messages
Tips for managing participants effectively
Add people early: If you think someone might need to be involved, add them sooner rather than later so they have full context
Communicate changes: When adding someone new, consider sending a quick message in the thread explaining why you've brought them in
Review regularly: Periodically check who's in important enquiry threads to ensure only relevant people are receiving notifications
Keep it professional: Remember that all participants can see the entire conversation history
